10 Top tips: How to reduce Excel file size without deleting data?

1) Save the file in right version as:

    • Excel Workbook (xlsx)

Save as new version instead of then older or

You can significantly reduce Excel size file compared to default version or

    • Zip the Excel file (zip).

2) Clear unused cells

    • Clear visible unused table, columns and formatted cells.

Select it and Clear All or select rows or columns and delete (Ctr+-)

    • Clear invisible content using method:

Ctr+G / Special… / blanks / Clear All
Note: CTR + End

3) Reduce graphics

    • Delete unused images/object

To find objects that are hidden, stacked, or behind text, click:
Home, Find & Select, Selection Pane…

    • Compressing Picture

Select image / Compress Picture / Minimise document size for sharing

    • Resizing

4) Reduce Condition Formatting

    • Select the entire worksheet

(Ctrl+A and you maybe requite use Ctrl+A again) or simple click Select All button

    • Home / Conditional Formatting / Manage Roles…

Select irrelevant roles and Delete Rule

5) Reduce on Data Validation

    • Select the entire worksheet as above
    • Data / Data Validation / Setting / Allow: Any value

6) Use manual calculation

Formulas / Calculation options / Manual

7) Use Pivot Tables and Excel Tables format and named Range

8) Optimise formulas

    • Avoid using volatile function such as:
    TODAY, NOW, INDIRECT, RAND, RANDBETWEEN, CELL, OFFSET, INFO.
    • Replace VLOOKUP, HLOOKUP and LOOKUP function with INDEX & MATCH
    • Replace nested IF functions with any of below alternative:
    REPT, INDEX & MATCH, SUMIF(s) or Boolean logic
    • Check cells containing formulas and replace them with values where a formula is unnecessary or rarely used

In the United Kingdom on April 6 each year is the start of the new fiscal year. Therefore, for employees in the UK, I have prepared UK Salary Calculator spreadsheet. Based on the annual gross salary and works out each of its components: Personal Allowance, Taxable Income, Income Tax, National Insurance Contributions and Net Salary called Take Home Pay. In addition, I have calculated the equivalent information for different periods such as year, month, week and day. In the last option, we can define the number of hours in a day. Apart from the gross amount, and the amount of working daily hours, the spreadsheet includes the option of choosing the Tax Years from 2009-10 to 2017-18.

UK Salary calculator has been prepared for taxpayers born after 6th April 1948, who are not entitled to any special incentives, tax exemptions or special tax-free amount. This calculator calculates the mean values due to the different periods, but the actual net pay wage that the taxpayer will receive may differ from the calculations. This may be due, inter alia, to the fact that for various reasons the taxpayer receives an irregular salary in a tax year or receives remuneration from more than one source.

My previous Excel test was described by many of you as easy. Therefore I have created a more challenge Advanced Excel Test. The idea behind this test is to check the skill of creating formulas with immediate result in Excel. This Advanced Excel Test checks the execution of Excel performance tasks, giving a graphical representation of the results obtained. Anyone can use it to check Excel skill level for staff recruitment, in evaluating candidates for jobs, for pupils and students and Excel fun too.

Advanced Excel Test

The columns in the source table are named as a title of header. When you create solutions, please also consider the fact that the contents in this table are random. It means that after every calculation made in the document, the change takes place in the content of the data in the entire table. Yellow cells have to be filled in by using formulas, which will cause change of the colour to blue and the result will appear immediately in the chart. Some questions has got multiple solutions. You can use any formula and function as long as they are correct.
